City of Medon, Tennessee - Community Center Policy
1. This policy reflects the rules established by Ordinance #0201 - Community Center Building. The City of Medon reserves the right to refuse rental to any renter at the discretion of the Park & Recreation Director, based on past rental abuse or disregard for this policy. 2. The Community Center is available on a "first come, first served" basis. Events will only be scheduled within the current calender year. The Community Center may be reserved only one date at a time - a reserved date must be used before another date may be reserved by the same renter. Exceptions are only for scheduled 2- or more day events, where each day is charged accordingly. Requests to come "the night before" a reserved date to decorate or set up will be considered as another reserved date and will be charged as an additional usage within a month (see #8, #9, and #10). 3. Only one event of function will be reserved per date. A maximum of 75 persons occupancy in the building or on city grounds during a rental event is set for safety and comfort purposes; if an event has more than 75 person attending, the renter will be charged an additional $50 and may revoke their right to use the Community Center in the future. 4. The Community Center may be reserved Monday through Friday 12:00 PM to 10:00 PM; hours on national holidays which fall on a weekday are 9:00 AM to 10:00 PM. It may be reserved Saturdays and Sundays 9:00 AM to 10:00 PM. Renters are asked to have the building and parking lot vacated by 10:00 PM; if it is used after 10:00 PM, it will be considered as another reserved date and will be charged accordingly. 5. Renters of the community Center must be responsible adults of a minimum age of 21 years old and give their name, residential address, and residential phone number. The renter who signs the Community Center policy must be present at the event and is the responsible party. 6. The picnic pavilion at Upton Playground is also included in the reservation of the Community Center building for renters' use; the picnic pavilion may not, however, be reserved on its own and is to otherwise by used on a "first come, first served" basis. 7. The Community Center may be used free of charge for: fundraising events for needy families living within a 3 mile radius of the Medon city limits, Medon Action Committee meetings and fundraisers, Madison County Fire Station #9 meetings and fundraisers, and for Boy Scout and/or Girl Scout meetings with local members and/or local leaders. However, city business meetings and paying renters have precedence for using the building. 8. Residents, property owners, and churches in the Medon city limits will be charged, for non-profit functions: $35 for first usage within a month, with a $15 deposit required when the date is reserved and the remaining $20 fee payable upon the reserved date; and $50 per additional usage within a month, with a $25 deposit required when the date is reserved and the remaining $25 fee payable upon the reserved date. If deposits are not received by the Park & Recreation Director within one (1) week of reserving the date, the date will not remain reserved and is open to others reserving it. The deposit will be refunded if the Park & Recreation Director is notified of a cancellation one (1) week prior to the reserved date. 9. Residents and churches within a 3 mile radius of the Medon city limits will be charged, for non-profit functions: $50 for first usage within a month, with a $25 deposit required when the date is reserved and the remaining $25 payable upon the reserved date; and $75 per additional usage within a month, with a $25 deposit required when the date is reserved and the remaining $50 fee payable upon the reserved date. If deposits are not received by the Park & Recreation Director within one (1) week of reserving the date, the date will not remain reserved and is open to others reserving it. The deposit will be refunded if the Park & Recreation Direcotr is notified of a cancellation one (1) week prior to the reserved date. 10. Any for profit functions, such as auctions, flea markets, product sales, entertainment programs, or church fundraisers; and non-profit functions reserved by residents and churches outside of the 3 mile radius of the Medon city limits will be charged: $300 for first usage within a month, with a $50 deposit required when the date is reserved and the remaining $75 payable upon the reserved date; and $150 per additional usage within a month, with a $50 deposit required when the date is reserved and the remaining $100 payable upon the reserved date. If deposits are not received by the Park & Recreation Director within one (1) week of reserving the date, the date will not remain reserved and is open to others reserving it. The deposit will be refunded if the Park & Recreation Director is notified of a cancellation one (1) week prior to the reserved date. 11. The lighted sign at the corner of College Street and Highway 18 may be rented by renters using the Community Center for their event at a rate of $5 per day, due upon rental request. Renters should tell the message to the Park & Recreation Director and she will put it on the sign and turn on the lights; message appropriateness is left entirely to the Park & Recreation Director's discretion. 12. No tables or chairs will be loaned out to the general public for use outside of the Community Center. No alcoholic beverages are allowed on city property, and no smoking is allowed in the City Hall & Community Center building. Minors should have adult supervision at all times. 13. The steam table in the front room of the Community Center may be rented by Community Center renters to be used during a rental event for $25. A separate steam table instruction sheet and rental policy is available from the Park & Recreation Director and must be read, signed, and paid for before using the steam table. 14. We ask that renters leave the Community Center as they found it when first arriving; all tables, chairs, and other items used need to be cleaned and returned to their storage places. Community Center items are inventoried before and after each rental event; if items are missing or damaged after an event, the renter will be billed for the cost of replacement or repair. Please clean up spills and sweep and/or mop as necessary; the cleaning closet beside the recreation closet and the kitchen cabinets have cleaning supplies. Any paper supplies used from the kitchen must be replaced, and all trash should be taken ut and disposed of by the renter. The Park & Recreation Director reserves the right to charge a $25 cleanup fee, payable the day after the Community Center is used, is she determines the Community Center is not left as it was found.
